Ensuring you safely return your rental equipment after use is a crucial part of the entire hire process. In this guide, we’ll explain when your equipment is collected by WHC Hire, how off hire correctly, the consequences if you get it wrong, and how to prepare your machinery for our teams. Ways to Correctly Off-Hire Your Machinery
To correctly off-hire machinery from WHC Hire, it’s important that you choose one of the following methods to do so. This will ensure that the entire process runs smoothly and that you will avoid incurring any further hire charges. Note that each plant and tool hire supplier will have its own processes, therefore you should always refer to your hire contract terms and conditions. At WHC Hire we offer three different methods to off-hire machinery with us:
- Call Us Direct: This is the fastest way to arrange the collection of your equipment. Be sure to contact the depot that provided the machinery. From here our team will schedule the collection normally within 24 hours.
- Email: Alternatively for some a written confirmation is better to ensure you keep track of your hire. Send an email to hire@whchire.com with your name, contact number, location and desired collection request. Our offices are open Mon-Friday 730-5 pm or Saturday 8-12. Emails outside these times will be responded to on the next available working day.
- Hand-Delivered: If you prefer or are able to, you off-hire your machinery by bringing it back to the depot yourself. This is often the quickest way to finalise the process and avoid any waiting time for collection.

Consequences of Incorrect Off-Hiring
Failing to off-hire correctly will result in ongoing charges for the equipment. If you don’t notify WHC Hire that you’re finished with the machinery, we will continue to charge you at the same daily or weekly hire rate until the collection or return has taken place.
In doing so, it’s important to remember that all the equipment components must also be returned at the same time. Missing parts or attachments will lead to further fees being charged. So, whether you’re returning a mini excavator or power tools, be sure to return everything.
In some scenarios, account holders may wish to off-hire only certain pieces of equipment from their original order, whilst continuing with others. WHC will only continue to charge account holders for the equipment that remains “on hire” until we have received notification to collect it. Where multiple collections are required, accounts will be charged additional collection fees. It is vital that you state which equipment you wish to have collected in your phone call or email when organising returns.
Readying Your Equipment for Collection
Once you’ve arranged your off-hire, it’s important to ensure that your equipment is ready to be collected by our team. Here are a few steps to get started:
- The equipment should no longer be in use: The equipment should not be in use when our team arrive to collect. Arranging to off hire the equipment means you have completely finished using it. Failing to do so will lead to additional hire, collection or waiting charges.
- Clean The Equipment: To avoid further charges, we recommend that you leave the machinery free from major dirt or debris. Equipment that is left excessively dirty may incur a cleaning or dig-out fee.
- Assemble Components: Check all parts and accessories are collected together for swift collection. This also includes the equipment keys where applicable.
- Accessible Location: This ensures that our team can quickly and efficiently load the equipment onto the collection vehicle. If your machinery is stored in a locked safe location, be available to grant us access when we arrive. Waiting charges apply after 15 min period.

How We Collect Your Equipment
At WHC Hire we use a range of vehicles to help us deliver and collect our world-class equipment. The choice of vehicle design depends entirely on the machinery we are moving and the access that is granted. Let’s look at the types of vehicles that we use during this process.
- Flat Bed Van: This is typically used for smaller equipment such as gardening tools, lighting and towable assets.
- Van & Trailer: Used for slightly larger pieces of equipment up to a gross weight of 3.5T. These are transported on a towable trailer behind our delivery van. A good example of this will be a 1.5T mini digger.
- Beavertail 18T: Ideal for larger items such as small excavators, dumpers, and other medium-sized machinery.
- Beavertail 32T: A larger plant ranging from 8T upwards.
- Low-loader: For the biggest and heaviest pieces of equipment, we have available at WHC Hire. (Note: Abnormal loads requesting collection will require a movement notice to be submitted with a minimum processing time of 2 clear working days.)
When arranging your collection, it’s important to inform us of any potential access restrictions at your site. Some of our larger vehicles will require more room to manoeuvre. Letting us know in advance ensures that we send the right vehicle and avoid any delays in the collection process.
When to Pay Your Collection Charge
At the time of hire, you will have been quoted for both the delivery and collection of the equipment (Unless collecting yourself). How you pay for your delivery and collection charges depends entirely on the type of account you are operating on:
- Cash account customers: For cash account holders, the fee will be deducted from your security deposit, along with the total hire charge.
- Trade account customers: collection fees are added to your monthly statement, just as part of your total hire charge.
