Opened in 2002, our Worcester Depot relocated from its birthplace in 1997 to Bath Road, just outside the city centre. The depot sits southbound on the A38 and services the entire Worcestershire county.

Things you require to hire with WHC

If you are making a booking for the first time with WHC, we understand that it can be an exciting experience. Nevertheless, to avoid any delays and to provide complete transparency of the process, here are the requirements that you will need to provide us to get the ball rolling.

How’d you like to work with us?

WHC Hire Services offers clients two ways to obtain equipment from any of our depots. On a cash basis, which requires customers to fund security deposits for each hire. Otherwise, apply for a credit account, where an invoice will be billed every 30 days.

Operating on a cash basis requires you to settle any outstanding balances when the equipment is returned or off hired. A more popular option for DIYers or less regular users.

Operating on an account basis requires a full credit check to be conducted on the party that is applying for the credit. A popular solution for businesses or regular hirers.

Having a clear plan for how you want to operate before booking your equipment will save you time during the equipment acquisition process.

2 Forms of Identification

When booking equipment with WHC Hire we require two forms of identification from the party who will be responsible for the equipment. The allocated person must be over 18 years of age and have a UK address. Accepted forms of identification are as follows:

Part1:

Valid UK Driving Licence

Valid Passport

Part 2:

Utility Bill (Gas, Electricity, Phone etc)

Why do we need this information?

Our hire agreements are law-binding contracts between WHC Hire Services and the party obtaining the equipment. Therefore, we require all customers to prove their identity to meet the terms of our contract. Examples of how we retain customers information is retained as stated in our GDPR policy.

Once we have copies of 2 forms of identity, we will be able to process either your cash or credit account. Although, if you are unable to visit a WHC Hire depot with this information, please contact you local depot to arrange a secured information exchange.

Payment types

How do you pay WHC Hire after you have finished with your rental? Payments are made in full in-store, over the phone or via BACS, depending on what type of account you are operating. Cash accounts are required to be settled once the equipment has been returned. On the other hand, credit accounts offer a 30-day payment terms which is set out in the terms and conditions of your application.  WHC Hire does not accept cash payments for either type of account.

Security Deposits

If you are hiring equipment form WHC Hire on a cash account, you will be required to pay a security deposit before receiving your equipment. This is a fully refundable sum that is calculated based on the value of the machinery and duration of hire. Ask a member of the team to calculate this when booking.

Suitable transport

Having suitable transport for moving your rental equipment is essential. Most small tools will be able to fit in the rear of a standard hatchback vehicle. However small and large plant will need to be escorted securely on a towable trailer. Vehicles equipped with a tow bar and capable of towing up to 3,500 kg are ideal for this method of transport. To clarify you can find more information in your vehicle’s handbook. Alternatively, opt for the equipment to be delivered by one of our experienced team.

Delivery Address

If you choose to have your machinery delivered, then you can assure that we will cover all of the logistics. To do so, we will need a delivery address and postcode of the destination of where the equipment needs to be taken. Delivery charges will apply which will be quoted when booking equipment. In some instances it can be difficult to pinpoint a delivery location if a postcode doesn’t exist. In this instance, we recommend using what3words to pinpoint the delivery location.

Refunding Depots

Once you have returned your equipment, WHC Hire will refund your security deposit minus the hire charge to the same bank card used to secure the equipment. We recommend that refunds take 3-5 working days but can be quicker depending on your bank.

Additional charges that may be applied, if applicable, are as follows:

Fuel charge– Charged only if the equipment is not returned full.

Damage charge– Charged only if the machinery is returned damaged. (For more information on this see “What happens if you damaged equipment on hire?”)

Cleaning charge– Charged only if the machinery is returned excessively dirty or requires decontamination.

Delivery Waiting Charges– Waiting charges can be applied if delivery teams have to wait more than 15 minutes at the booked address.

How Accounts Are Charged?

If you are operating through a credit account with WHC Hire, your account will be charged after the equipment is returned in full working order. As there is no security depots to refund, you will instead receive an invoice for the equipment with a 30 days payment terms.

It is important to note the following charges also apply to account customers with each hire:

Fuel charge– Charged only if the equipment is not returned full.

Damage charge– Charged only if the machinery is returned damaged. (For more information on this see “What happens if you damaged equipment on hire?”)

Cleaning charge– Charged only if the machinery is returned excessively dirty or requires decontamination.

Delivery Waiting Charges– Waiting charges can be applied if delivery teams have to wait more than 15 minutes at the booked address.

Any additional charges will be itemised on your invoice receipt.
